CHAPTER I
PROCY’S Agricultural Product Center Point of Sale And Payroll System
Introduction
Today, with the fast and rapid development of technology we have,
business are also rising up together with it. Nowadays different kinds of
systems are develop to improve the business process, reduce operational
problems and expand the business. And those system exist today was very
helpful in terms of the business industry whether to schools, offices and
companies. Those software application
Although, PROCY Agricultural Product Center Market raised its greater
income annually, it could never hide or deny the big profit they received per
year, but still no one try to attempt to change their way of process. It is difficult
to them to do manually working procedure, although they already have a
system but errors has been always encountered, some errors and conflict
was appeared from time to time. Since the market has been established for
those past year, but still they are being contented for what process and
procedure they have, so it means no changes were happened. Therefore the
flow of the business is very slow. So that the management wanted a type of
system that makes their work faster and easier. For instance, it’s been a great
challenge to every system developer on how to convince, and to gratify
completely the customer expectation.
1
Background of the study
SENTRONG PAMILIHAN NG PRODUKTONG AGRIKULTURA NG
QUEZON is the largest Agricultural Business Market Center found in Sariaya,
province of Quezon. This large agricultural product market was established
under the ownership of Mr.Proceso Alcala Sr. to help the Filipino Farmers
especially in the province of Quezon to sell their agricultural product into
market in an easy way. This agricultural market is open for wholesale and
retail, per kilo, per bundle or per sacks of any types of agricultural product like
vegetables, crops and fruits which are delivered and came into different
partand area of Luzon such as in the CALABARZON Region, Cordillera
Region, and Bicol Region.
This Agricultural Center Market was suffering in the flow of process of
business transaction. Specifically in storing and retrieving important records
and data of a customer. With this the proponents would like to offer or make
system for them that will end and ease the problem they always encountered.
We the proponents noticed that the receipt that a box of that and based on
the proponents study, the department records area where all transaction
receipt were admitted event of selling including the manager is suffering while
recording the product-in and product-out because even though they’re having
a system, but still manually encoding to the computer. They are only using a
logbook, calculator and a paper receipt on calculating the sale.
2
Their system is only focusing on receipting the customer but on saving
the record it is not included which is important. The point is? Even though
they already having a computer on their office department but they do
manually the encoding the sales of the business, through inputting the
records to access or excel every time the manager needs a report. They keep
every copy of the receipt given to a customer to encode and check manually if
it is equally match to the sales expected. And still the operation is very slow, it
is time consumable, manually looking for the receipt, and manually encoding
the data on computer came from logbook is need a serious effort and patient.
Another bad thing is? Sometimes it comes to a point that they are shortened
in terms of money, and whenever they wanted or not, it was deducted to the
marketer or employee salary who is responsible for the mistake. Therefore we
proposed an organized point of sale system, which is automatically restore
and save record from time to time because we wanted to resolved their
problem and make their work easier, fast and comfortable. So, when the
manager needs a report it was automatically display by clicking the print
button the required report will give a clear and right information output result,
and it has no error.
3
Conceptual Framework
This figure shows the input, process and output procedures that make
the project study possible. It acted like maps that give coherence to empirical
inquiry. It outlined the possible courses of action and presented a preferred
approach to the system analysis and can be thought as a relational model to
the system.
Agricultural Product Information
The user will input all needed information, about agricultural product
data, then the system will process the data and automatically save, calculate
the process information, print and display the records that a user wish. The

Employee Information
The user will tap their thumb finger in the biometric scanner device
then the payroll system will determined the time-in and time-out of employee.
Database Management System
Another input is the Database Management System it is a computer
program that is designed to manage a database, a large set of
structured data, and run operations on the data requested by Procy’s
Agricultural Product Center Incorporated.
Process
Data Gathering
In this phase the proponents gathered all the data that was needed
from Procy’s Agricultural Product Center Market by observing their operation
that will helped the proponents to identify the problems or difficulties occur in
the Procy.
Data Analysis
In this phase the data flow diagram was formed. With this analysis it
was needed in the designing of the system and it solved any problem that will
5
occur in the system. The data that was gathered were analyzed to know what
are the important things needed or to eliminate the possible things that are
unnecessary to the system.
Designing the system
In this stage, the proponents constructed a user-friendly interface that
is needed by the user. The proponents used an interface with less complexity
so that it will be much easier for the user of our proposed system. The
programming language used in designing the program is Visual Basic 6.0.
Testing
To provide the Procy’s Agricultural Product Center Market with the
information about the quality of the system the services and process that it
makes through a test.
Implementation
In this stage, the system will be implemented to the authorized user of
the system. They will have a tutorial on how to use the system.
Output
Procy’s Agricultural Product Center POS and Payroll System
6
The output would be the software application for Procy Agricultural
Product Center Market that will be more accessible for the authorized user or
staff of Procy.
Testing and Evaluation
In this stage the software application will be tested so that the user of
Procy’s Agricultural Product Center POS and Payroll System will tell if the
system meet their total satisfaction and expectation by testing and evaluating
the system for them. Also to know what is needed to modify or to
accommodate changes regarding the system.
Statement of the problem
1. What are the common problems being encountered on Procy’s
Agricultural Product Center?
2. Why we used the access database?
3. What is the limitation of our system? What’s its only focuses?
4. Is our proposed project is possible? In what way and why?
Objective of the study
General objectives
The main objective of the study is to create a system that will lessen
the time of work to do more business operations and double the human
strength and effort with the help of this proposed system, instead of
computing the receipt manually and saving it manually. It can be saved
instantly by a click of a hand. Also by the help of the system all of the
7
transaction happening inside the business place will be notice such as the
product delivery came from different farmers in the different area of Luzon,
including the time of hours worked of every employee and its salary.
Specific objectives
1. Develop a system for Procy’s business transaction.
2. Develop a program that will compute instantly the receipt and the
salary of employees.
3. Develop a program that will save all the information that is needed.
4. Develop a system that can be run on a windows XP operating
system and above.
5. Develop a system that is reliable to common users.
6. Create a system which is more efficient to the users.
7. Create an easy to use and well maintained system that can be
manage by the user.
8. Develop a user friendly and executablesystem for computer
desktop.
Research hypothesis
• H0 - Employees are manually computing the agricultural product which
has been purchased from the Procy and manually put it into a handle
device that will execute the receipt and sometimes employee forgot to
connect the device from the server that will cause an error to their
8
transaction because when the device is not connected to the server it
will not be recorded. They also do manual encoding important
information's to their database even though they have already a
system.
• H1 - They can use our system to lessen the time of work to double the
human effort, to do more job. Instead of doing transaction manually,
making receipt and recording shall be done faster without any error
occurred while using our proposed system for them.
Significance of the study
This study will specifically benefit the following:
Head manager–they can easily find out the flow of the business if the market
reaches the expectation income every month and every year.
Administrators and staff –they can manage the business easily. The
payable salary from the staff will lessen.
CSTC College Inc. –This shall serve as the reference of the students in
terms of developing a POS and Payroll system.
Researcher –the researcher may enhance their skill and knowledge in
developing software project.
Future Researcher – this study will serves as the basis and guidance for
them in making software product for their research project in the future.
Scope and Limitations of the Study
9
The proponents gathered some of the information from the reliable
websites in the internet, unpublished thesis and journals. And this study will
only focuses on a POS and Payroll System about Procy Agricultural Center
Market.
Scope of the Study:
Encrypted password protection will be used to secure the accounts
of the holders.
It will lessen the time of finding receipt when some customer
comeback and try to retrieve their receipt.
Customers will have a computerize receipt and the transaction will
automatically save to the database of our system.
Date and time of transactions are included.
Payroll system regarding the employee will have an equality to the
salary based on their worked hours.
Payroll system will record the total time for a day and automatically
compute the total salary of the employee.
Limitations of the Study

Review of Related Literature and Studies
The proponents did some research regarding Point of Sale and Payroll
System with Biometric scanner. These researches include some studies
that is already happened and done in the past. The theories about Point of
Sale and Payroll System with Biometric device and its compatibility issue
to the software that is needed in the development of the software project.

According to Carlo Garcia et.al. (2010) the others at STI College
Lucena entitled Wisepos: POS and Ordering System using handheld
device on February 2010 states that they intended to make a kind of
software product which is automated Point of Sale and wireless ordering
system using a handheld devices, that this system will create a much
faster and easier method of ordering food, and beverages in Giuseppe Bar
Cafe. Because the system enables consistent service to be delivered to
the customer. The Orders are transmitted via Bluetooth directly to the
table and to the POS server. This thesis project mainly concerns in
developing an ordering system that will transmits order directly from the
table to POS server and kitchen terminal; and a POS system that will
process the order for sales transactions and to display the order
information to kitchen terminal.
According to group of computer engineers in Rebisco Biscuits
Corporation (2009) proposed a thesis report entitled “Computerized Daily
TimeRecord System” for what is the same Innodata Corps is implementing
right now a computerized daily time record as an alternative for
Bundyclock. The means of getting inside the company premises is by
swiping cards into a machine that reads every record of each employee
then monitor and displays the time a particular employee logs in and out.
In the study of Mary Grace Cruz et.al and the others entitled Self-
service POS and Inventory System for Mini Gasoline Station on (March

2014). State that the developers had decided to make a pay then fill- a
self-service POS and inventory system that would provide an efficient
monitoring of the dispense of fuel, the non-time consuming and high-
technological point of sale system process and inventory that would
replace the old process of manual measurement using a gas meter. This
system automatically released fuel when the customer is already paid to
the cash register. The routine of the system to the customer is self-
service; gasoline station do not need to employ a gasoline boy to get the
business running.
According to Olivar (2010), “Payroll System is heart of Human
Resource System of an Organization”. The solution has to take care of
calculation of the salary as per rules of the Company, Income-Tax
calculation and various deductions to be done from salary based on the
daily time record using the “Biometric Attendance Record
System”including statutory deductions like Income Tax and Provident
Fund deductions. Another study, the main focus of the system should
handle employee’s records such as Employee List, Add New Employee,
Edit New Employee, Attendance, Bonus and Pay slip for the administrator.
In the study of Ronald Manalo et.al. Entitled Inventory and POS for STI
College LucenaProware on (March 2010) states that the proponents
intended to make an automated system for STI College Lucena’sProware
to improve the semi-computerized system that will solve many problems
14
that STI College encountered. The proposed system will lessen the
workload required in dealing with records done by STI College Lucena. In
addition STI College Lucena is one of those business schools which
operate in semi-computerized system transaction with more than 1000
inventory items dealing with product lines, namely books, uniforms,
prowares marketing materials, education related materials, supplies and
courseware. Manual monitoring of the movements of above mentioned
products may cause complexity in processing records of products and
defective goods, short deliveries, determining and monitoring the re-
ordering levels of stocks and generating necessary reports.
Foreign Studies
Columbia State Community (2009) uses computer identification
account (Log In Name and Password) for access to the institutions
computer usage logs occurs electrically through the individual user slog
in/out process. Users are also informed that they are responsible for any
computer file’s, database and/or internet sites that are accessed through
their computer identification account, notwithstanding their failure to
adhere to the log in/out process, on their voluntary publication of their
account information to others.
Time Force (2010), It is a software-based time and attendance system
that allows the user to collect and organize employee time data simply and
accurately. You can use Time Force to easily and efficiently track your
15
employee time, manage your time & attendance data and employee
profiles, eliminate buddy punching, make employee scheduling a breeze
and reduce the headaches and time associated with payroll. Best of all,
Time Force can quickly pay for itself in time savings reduction of time theft
and elimination of payroll errors. Time Force is the manifestation of
10years of experience, customer feedback, and research and
development in the time and attendance market. Over35, 000 businesses
use Time Force.
Johnson (2008) said, since modern computer accelerates work and
keeps track of information accurately and promptly, it’s only natural that
industry needs the services of computer and the modern technology
devices for great help and improvement.
Watson (2011) offers more accessible, fast and efficient way to
enhance Log-in Log-out using Biometrics Finger Prints Reader. By using
ESVES biometric system for security and database management the
employee can Log-in and Log-out by Pointing Thumb finger and Index
finger.
Point of Sale (POS) Technology (2011) Point of sale (also called POS
or checkout, during computerization later becoming electronic point of sale
or EPOS) is the place where a retail transaction is completed. It is the
point at which a customer makes a payment to the merchant in exchange
for goods or services. At the point of sale the retailer would calculate the
16
amount owed by the customer and provide options for the customer to
make payment. The merchant will also normally issue a receipt for the
transaction. The term Point of Sale is often used in connection or relative
with the hardware and software for checkouts. In the case of some
locations, with wireless capable systems or network wired via TCP/IP.

wrote on his article “The Computer Edge of the New Employment and
Opportunities He stated that computer gives a different feeling about what
is happening in the company. Business will be highly competitive and
innovative because the computer provides instant information.
According to Andrea Cantoma, (March 2009) entitled “Computer
Library System for St. James Academy” stated that, in manual system in
retrieving, maintaining security and piling records take place because of
the years gone by. Furthermore, these files were only kept in envelopes
and folders in wooden rocks. There are also instances when the right
information is given to a wrong person, which affect quality of service.
“Biometrics Technology to be Implemented in PNP”, (2009) The
Philippine National Police (PNP) also made by the international crime
detection technologies in the market, the said Philippine agency decided
to adopt NEC’s (mentioned above) Automated Fingerprint Identification

System. Via the technology, PNP staff and experts are able to
authenticate unique body demographics, such as fingerprints in the
particular case. The technology also allows an almost instantaneous
identification. The technology was used however by first building an initial
database of 210,000 fingerprints. PNP actually used the said technology
in order to identify two “chop-chop” victims who’s mutilated bodies were
found dumped in several areas in Quezon City and Muntinlupa.
According to Mayor Jun Bernabe on the article Planet Biometrics, In
(August 2011) Parañaque City, Philippines has replaced its existing
biometric machines with a new fingerprint biometric attendance registry
system, which it says is more user-friendly and efficient. The city’s mayor,
Jun Bernabe, says the new attendance machines will enable it to resolve
the issues of long queues as well as employee complaints. A total of 40

were purchased. City hall took 15 units while the rest were installed in
other local government facilities. The upgrade was jointly run by the city
government’s Human Resource Management Office and the Electronic
Data Processing (EDP)Office. “Aside from cutting manpower downtime, it
makes timekeeping and payroll preparation simpler, systematic and more
accurate. It also provides an additional way to identify, discipline and fire
habitual later-comers, absentees and ghost employees,” says Mayor
Bernabe. According to the article mentioned above, with the use of

Pros and Cons Magazine ("Point of sale," Entrepreneur, 2011). Since
you can obtain more information than would be possible with a normal
system, POS systems allow you to run reports based on a company’s
selling history which in turn allows business owners to make better
ordering and merchandising decisions. With POS systems you can study
sales data and track how well specific items of your shelves sell, allowing
you to order inventory more accurately.
Foreign Literature
According to Thomas Primer on his article “Automated Computerize
Process”, in Readers Digest Magazine, (May 2009), Page 45,for many
businesses automating the collecting of employee attendance data when
employees begin their shifts is still a manual process. Even business that
has automated or computerized processes such as scheduling, inventory,
purchasing, general ledger and payroll processing still use manual method
such as time cards sheets to collect time and attendance data.
NOVA time a group system developer, (May 2008s), the system that
will give management the power to not only utilize the tools we have
available to us today, but will continue to grow and evolve, giving it the
capability to incorporate and utilize the tools the new millennium promises
to bring us. NOVA time has brought a system designed for growth while
19
maintaining the maximum in flexibility. Where the sophistication lies within
the programmed mechanism of the system, allowing for a quick and
simple implementation and employee training cycle, after all the true test
of a system is not only in the production and wealth of reporting, but in the
simplicity and ease of its operation in conjunction with a simple and
accommodating implementation program.
Better humans (2012) stated that a wireless fingerprint scanner could
soon be helping law enforcement agencies; government and the military
instantly identity the scanner, called sweet fingerprint, today. It’s being
demonstrated at the government convention one merging technologies,
which addresses issues of homeland security. Scanned fingerprint can
also be used to query a database for someone’s profile, using automated
fingerprint identification system, and the profile can then be sent to a
mobile device such as a personal digital assistant. According to the
related article mentioned above, fingerprint scanning technology has been
used in many fields as a means of security to confidential government
records. Technology helps law enforcers in the identifications of
employees.
“Business magazine” (2014) A computerized network operated by a
main computer and linked to several checkout terminals. Inventory
software programs now on the market let you track usage, monitor
changes in unit dollar costs, calculate when you need to reorder, and

inventory right at the cash register with point-of-sale (POS) software
systems.
Assessment on the relevance of the related literature and studies or
synthesis
The assessment of related literature is very essential because our
study must be based upon the past knowledge. This is so because past
knowledge tell us what is already known, as well as what is still unknown.
This study is very important especially to the researchers because, we get
some tips on how to develop our proposed project, such as research
methods used in the past, instruments used in gathering data, the
statistical computation applied to the past research and the findings and
conclusions of the past investigation which we may relate to our findings
and conclusions. This review of related study serves as the basis and
guidelines in the development of the software project. It provides a lot of
information in the past research, which we may relate to our current study.
Also this review concludes to the researchers to create and think some
concepts that may applied to the proposed system.
Chapter III
Research Design and Methodology
This chapter deals with the used of research methods in developing
the software product. Together with the research methods used, the research
21
design, the respondents of the study, instruments that will be used, validation
of the instruments as well as data gathering procedures and the statistical
treatment of data.
Research Design
The Proponent used Descriptive Method of Research also known as
Statistical Research. The main goal of this type of research is to describe the
data and characteristics about what is being studied. The idea behind this
type of research is to study frequencies, averages, and other statistical
calculation. Therefore under the descriptive method of research we used
Survey Method.
In this Survey Method of Research, the participants must be reliable in
answering the questionnairesadministered to them. It must be based on their
satisfaction to the software. And respond actively to the interview questions.
After the participants answer the questions, therefore the researchers
describe the responses given. And in order for the survey to be both reliable
and valid it is important that the questions are constructed properly. The
questions should be written and printed clearly so they are good in the eye
and easy to comprehend. Another consideration when designing questions is
whether to include open-ended, closed-ended, partially open-ended, or rating-
scale questions. While in preparing interview questions it must be brief, clear
and focus and always choose the right person to interview, the one who is in
22
the best position to provide you with an information you need to complement
your research. The interviewee must be knowledgeable, reliable and must be
available for the interview by asking for an appointment before you start to
conduct an interview.
Method used in Developing the Software Product
The Prototyping Model is a systems development method (SDM) in
which a prototype (an early approximation of a final system or product) is
built, tested, and then reworked as necessary until an acceptable prototype is
finally achieved from which the complete system or product can now be
developed
23
Satisfaction
Figure1.1Prototyping Model
We chose to use Prototyping model to develop our software project
because this model are easily modifiable, either by the developer, or
customer specifications. Prototype or design of this model will be used
because the desired system of our client needs to have an interaction with the
system. Prototyping ensures that the end users constantly work with the
system and provide a feedback which is incorporated in the prototype to
result in a useable system. This model are excellent for designing good
human computer interface systems.
Method used in Evaluating the Software Product
The same with the other software paradigms, the process of
prototyping model is also begins with from of gathering data or identifying the
basic requirements before starting the initial prototype or design, review it
from the users of the system, and finally revise and enhance the system
based on the customer specification.
Requirements
24
In requirements proponents went to Procy’s Agricultural Product
Center Market to gather the important data and information about their
business transaction the process and procedure they are doing to conclude
what is the possible solution for their problem.
Design
Designing the interface of the system for the customer and employees
specification of Procy’s Agricultural Product Center is done after gathering
important data and information based on the study.
Prototyping
The researchers will do a sample or a model design of the system
based on the information and data gathered from the beneficiary of the
system, to see and evaluate the customer specification on what is needed to
change on the design implemented by the proponents to Procy’s Agricultural
Product Center.
Evaluation
The researchers will conduct an evaluation for the user, the
beneficiary, and the staff of the Procy’s to fully understand the system
requirements.
Review& Update
25
In review and update, the researchers will review the system after the
customer evaluation and specification for the system.
Development
This will be the stage of creating or developing a system for Procy’s
Agricultural Product Center based on their satisfaction for the final prototype
implemented by the proponents to them.
Testing
The Procy’s Agricultural Product Center will test the system if it is
exactly appropriate and meet their satisfaction for the system and if it is
working properly as the researchers said.
Deployment
When the system is approved and the Procy’s is willing to use the POS
and Payroll system for them. They can deploy or open it and make it available
to their business.
Maintenance
The system will be maintained by a professional or the developer of
the project so that they will know what to do in case of any problem
encountered or appeared in the system.
In addition, project develop with the use of prototyping model must be
built in a manner that enables maintenance to be performed expeditiously.
Respondents of the Study

The Proponents chose seven (7) of the Professional (IT Experts) or
12.72% of the total respondents based on the results of statistical calculation
of the required sample size. Those experts are the one who are capable of
understanding the system, thus could give more reliable perceptions. The
remaining 48 users of the software or 87.27% of the total respondents were
chosen because they are the person who will use the system.
Data Gathering Procedure
The interview question, check list and survey method was the main
instrument to be used in this study. The researcher create a reliable interview
question and sought permission from the President of Operation at
SENTRONG PAMILIHAN NG PRODUKTONG AGRIKULTURA NG QUEZON
to disseminate our questionnaires to our target subject to get and assure the
reliable information and response that the respondents would provide.
27
After gathering finish responses of our target users we proceeded in
consolidating the survey form and will analyzed and interpreted the data using
the appropriate statistical treatment.
